Setting up your mailbox on any device

These settings work in every modern mail client. Enter the same values wherever you are asked for them.

Use IMAP, not POP

IMAP keeps mail on the server, so every device sees the same mailbox and the same read and unread state. Delete something on your phone and it disappears on your laptop too.

POP downloads mail to one device and typically removes it from the server. If you have ever wondered why mail read on your computer still looks unread on your phone, that is POP.

Use POP only if you specifically want a single machine to hold everything and you understand that mail then exists nowhere else — including in any backup we hold.

Adding the account

Outlook (current versions), Apple Mail, iPhone, iPad, Android, Thunderbird: add a new account, enter your full address and password, and let the client detect the settings. If it cannot, choose manual setup and enter the values above.

Always use the SSL/TLS ports. Some clients still offer unencrypted alternatives — 143 for IMAP, 25 for SMTP — which send your password in the clear.

When it will not connect

In order of how often it is the cause:

  • Username is not the full address. It must be you@yourdomain.com, not you.
  • Outgoing authentication is off. Many clients default it off. Turn it on, using the same credentials.
  • Wrong port or encryption. Use the table above rather than whatever the client guessed.
  • Your network blocks port 25. Many ISPs do. Use 465 or 587 instead.
  • DNS has not propagated, if the domain moved to us recently.

Mail arrives but sending fails

Almost always outgoing authentication. Incoming and outgoing are separate settings and enabling one does not enable the other.

Sending works, but recipients do not receive it

That is a deliverability problem rather than a setup problem. See our article on SPF, DKIM and DMARC — without those records, modern providers silently discard mail that otherwise sends perfectly.
